1.0 Introduction

MS Teams integration with pivot introduces advanced monitoring capabilities for Crestron UC Engines equipped with MS Teams.

Please check over the “What You Need Before Starting” heading before beginning, and if any questions arise, please do not hesitate to reach out to your pivot Integration Specialist or to contact support@pivotnow.io

These tasks are dependent on the client you are integrating with. These steps can be completed all by them, and is especially recommend for clienteles who wish to keep their data as much within their environment as possible. Otherwise, for clients who are not concerned or unable to perform the tasks, you are looking to integrate the MS Teams reporting to your own Microsoft environment, please reach out to your pivot Integration Specialist.

2.0 What You Need Before Starting

  • A pivot Client Admin Account

  • At least 1 active MS Teams Room

  • A Microsoft Admin account:

    • That has access to view your Azure Tenant ID
    • Your Workspace ID

3.0 Walkthrough

This Guide will walk you through with gathering your Tenant ID and inputting it into pivot to allow communication and permissions to monitor the state of our MS Teams’ rooms. Many of these steps are Client specific steps that they must perform, but if you and the client are opting to utilize the pivot Microsoft environment, you can directly skip to Step 3 > Installing the Azure Monitoring Module.

3.1 Acquire Tenant ID - MS Teams Admin Permission Requirements

  • In order to begin the MS Teams integration, the user will first be required to input the Tenant ID of the client Teams organization. Tenant ID can be found in one of two ways:
  • You can get your Tenant ID from: Microsoft Azure Portal → Azure Active Directory → Overview when logging in as an Administrator.

  • Alternatively, you may log into the Microsoft 365 Admin Portal and navigate to the Azure Active Directory Overview page to acquire the Tenant ID.

  • Using the Tenant ID, pivot can then send a request to the organizations’ admin, prompting them to give consent so that call records can be monitored. Such call records include:**

    •  Names of caller and callee

    •  Start and end times of call

    •  Network data (IP address, port number, etc.)

    • Stream data (jitter, packet loss rate, bandwidth, etc.)

3.2 Acquire Teams room Display Name

  • Monitoring the call quality data of Teams Rooms devices and accounts requires knowing their Display Name when mapping them to rooms. The Display Name can be found in several ways:
    • If MS Teams Rooms device exists
      • As a Teams admin, go to https://admin.teams.microsoft.com/ and sign in
      • Go to Devices > Teams Rooms tab on the left menu
      • Acquire desired Display Name from the table under the Display name column

  • If MS Teams Rooms device does not exist
    • As a Teams admin, go to** https://admin.teams.microsoft.com/ and sign in
    • Go to Users on the left menu
    • Find/search for the account you wish to monitor
    • Acquire desired Display Name from the table under the Display name column

3.3 Integrating MS Teams into pivot

  • Once logged into pivotnow.io navigate to the integrations tab and select “Connect” under Microsoft Teams

  • Paste in your Tenant ID into the blank field and select “Next”

  • You will be redirected to log into Microsoft, Log in with your organizations’ admin account and your will be prompted to give consent so that call records can be monitored.

    • Such call records include:

      • Names of caller and callee
      • Start and end times of call
      • Network data (IP address, port number, etc.)
      • Stream data (jitter, packet loss rate, bandwidth, etc.)

  • Selecting “Accept” will redirect the page back towards pivotnow.io to continue the integration

3.4 Mapping Rooms

  • Navigate to the Integrations Tab on the left side of the page

  • Clicking on Manage you will be taken to the Integration’s management window.

  • pivot location: Select the address of your site in the drop down (If you have multiple).
  • pivot room: Select the room name of where your device is stored in the drop down.
  • Once Selected, click on “Manage” and the device mapping popup will appear.

  • Select your MS Teams device you want to map and select the pivot device you would like it to map too.
  • It will show you below the asset information between the two devices, and will overwrite the asset information in pivot. Make sure that the device you are mapping into pivot matches the device you are pulling from Microsoft (If MACs are different, you may be using the wrong MAC). In this example, the Touch Panel does not have any asset information.
  • Select Batch Overwrite and Yes to confirm, and the asset information will be copied over into pivot as shown below.

  • Now the assets are good to go, select Map to connect the devices and it will appear in the Mapped devices table.

  • Select Save when you are done with mapping this room.
  • Repeat the process to all your rooms you wish to map. Once done, press the save button on this page to finalize your changes.

  • Once Saved, the rooms that have mappings will be moved over to the Mapped rooms tab.
